Who we are and what this covers
Copper Penny Bookkeeping ("Copper Penny," "we," "us") provides bookkeeping services to US businesses. This policy explains what we collect through this website, our phone line, and our advertising, and how we use it. The financial records of businesses that become bookkeeping clients are covered separately below and governed primarily by the client's service agreement.
Information we collect
- Information you give us — name, business name, phone number, email address, and what you tell us about your business and bookkeeping needs, whether through our callback form or on a call.
- Call recordings and transcripts — calls to and from our number are answered or placed with the help of an AI receptionist, which identifies itself as such. Calls may be recorded and transcribed for quality, training, dispute resolution, and record-keeping. By continuing a call after the recording notice, you consent to the recording.
- Information collected automatically — standard technical logs (IP address, browser and device type, pages visited, referring page) and data collected by cookies and similar technologies, described under "Advertising and cookies" below.
How we use it
- To respond to your inquiry, call you back, prepare quotes, and provide services you request.
- To send follow-up emails and, where you have agreed to it, text messages about your inquiry. You can opt out at any time — use the unsubscribe link in any email, reply STOP to any text, or just tell us on a call. Message and data rates may apply to texts.
- To measure and improve our advertising (see "Advertising and cookies").
- To improve our service, train our team and systems, keep records we are required to keep, and protect against fraud and abuse.
Advertising and cookies
We advertise on Meta platforms (Facebook and Instagram). This site uses the Meta pixel and similar technologies to understand which ads bring people here and whether the site works well — for example, recording that a page was viewed or a form was submitted. This means Meta receives standard event data from your visit (such as pages viewed and browser information) and associates it with your Meta account if you have one, under Meta's own privacy policy.
You can control this: adjust your ad preferences in your Meta account settings, use your browser's cookie controls or private browsing, or contact us to opt out of our advertising measurement. We honor the Global Privacy Control signal where required by law. We do not use advertising cookies to build profiles for anyone else, and we do not sell your personal information.
Calls and the AI receptionist
Our phone line is answered 24/7 by an AI receptionist named Penny, which identifies itself at the start of the call. It collects the details of your inquiry and connects you with a bookkeeping specialist. Recordings and transcripts are handled by our telephony and AI service providers on our behalf and are retained only as long as needed for the purposes above.
How we share information
We do not sell your personal information. We share it only with:
- Service providers who operate parts of our business for us — telephony and AI call answering, email delivery, website hosting, and analytics/advertising measurement — each limited to what they need to provide the service.
- The bookkeeping specialist who handles your inquiry and provides your service.
- Authorities or advisors when required by law, or to protect our rights, our clients, or others.
Client financial records
If your business becomes a Copper Penny client, we handle your financial records — bank and card transaction data, accounting files, and supporting documents — under your service agreement and a duty of confidentiality. Bank and card connections are read-only feeds: we can see transactions to do the books, and we cannot move money. Your accounting file stays in your business's name. We use client financial data only to provide the engaged services and never for advertising.
Data retention
We keep inquiry information for as long as we may work together plus a reasonable period afterward, and client records for as long as your engagement plus the retention period good bookkeeping practice and law require. Call recordings are kept on shorter cycles. When data is no longer needed, we delete or de-identify it.
Security
We use reputable providers, encrypted connections, and access limited to the people who need it. No system is perfectly secure, but we treat your information the way we treat your books: carefully.
Your choices and rights
You can ask us to access, correct, or delete your information, or to stop contacting you, at any time — email us, tell us on a call, or use the unsubscribe/STOP options in any message. Depending on where you live (for example, California and other states with privacy laws), you may have formal rights to access, correct, delete, and opt out of targeted advertising; we honor these requests regardless of state, and we will not treat you differently for exercising them.
Children
Our services and this site are for businesses and are not directed to anyone under 18. We do not knowingly collect information from children.
Changes to this policy
If we change this policy, we will post the new version here with a new effective date. Material changes will be flagged on this page.
